This Privacy Policy explains how Basetender LLC collects, uses, discloses, and protects information when you use our multi-tenant operations software for trucking companies and freight brokerages. By accessing or using the Service, you agree to this Policy. For terms governing your use of the Service, please see our End-User License Agreement (EULA).
2. Scope & Roles
Basetender provides a multi-tenant SaaS platform. We generally act as a service provider / processor for customer (tenant) data you or your organization input into the Service. For our own website analytics, billing, security, and account management, we act as a business / controller.
3. Information We Collect
3.1 Account & Tenant Information
- Tenant profile (company name, DOT/MC or brokerage identifiers where provided, billing contacts)
- User profile (name, email, role, authentication data)
3.2 Operational Data (Customer Data)
- Loads, routes, carrier/broker records, documents (e.g., PODs, invoices), equipment details, and related logistics data
- Financial records you choose to sync or store (e.g., receivables, payables)
3.3 Integrations & Third Parties
- Accounting integrations you connect (e.g., QuickBooks) and the data you authorize for sync
- Other integrations you enable (e.g., email, storage, maps), subject to their permissions
3.4 Device & Usage
- Log data (IP address, browser type, timestamps), cookies or similar technologies
- In-app activity for security, troubleshooting, and product improvement
4. How We Use Information
- To provide, secure, maintain, and improve the Service
- To authenticate users and manage accounts/tenants
- To process data you choose to sync with connected integrations (e.g., QuickBooks)
- To provide support, detect abuse or fraud, and enforce our EULA

Where applicable, we process personal data based on: (a) performance of a contract; (b) our legitimate interests in operating and improving the Service; (c) compliance with legal obligations; and (d) consent, where required.
6. Sharing & Disclosure
- Service Providers / Sub-Processors: hosting, storage, email delivery, analytics, logging, error tracking, customer support, billing.
- Integrations You Authorize: if you connect QuickBooks or other third-party tools, we share/sync data as you configure.
- Legal / Safety: to comply with law, protect rights, investigate misuse, or respond to lawful requests.
- Business Transfers: in connection with a merger, acquisition, or asset sale, subject to appropriate safeguards.
7. Data Retention
We retain information for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Tenants may request deletion of certain data through in-product tools or by contacting us.
8. Security
We employ administrative, technical, and physical safeguards appropriate to the nature of the data we process (e.g., encryption in transit, access controls, monitoring). No method of transmission or storage is completely secure; we cannot guarantee absolute security.
9. International Transfers
We may process data in the United States and other countries. Where required, we implement appropriate safeguards for cross-border transfers (e.g., standard contractual clauses).
10. Your Rights & Choices
- Access, Correction, Deletion: Tenants can view, edit, export, or delete certain data via the Service or by contacting us.
- Marketing Preferences: You can opt out of non-transactional emails via unsubscribe links.
- Cookies: Manage preferences through your browser or device settings; some features may not function without certain cookies.
California (CCPA/CPRA)
California residents may have rights to know, access, delete, correct, or opt out of certain sharing. We act as a “service provider” for customer data and as a “business” for our own site/app operations. To exercise rights, contact us at the email below.
EEA/UK (GDPR)
You may have rights to access, rectify, erase, restrict, or object to processing, and data portability. Where processing is based on consent, you may withdraw consent at any time without affecting prior processing.
11. Children’s Privacy
The Service is not directed to children under 16, and we do not knowingly collect personal information from them.

We use cookies and similar technologies to provide core functionality (authentication, session management), analyze usage, and improve the Service.
